LessonBuddy can record manual payments, maintain a pupil's lesson-credit balance and, after Stripe setup, let pupils buy credit by card, Apple Pay or Google Pay.
Record a manual payment
- Open Students and select the pupil.
- Open the Pay tab.
- Tap + to open Add Credit.
- Choose the payment type:
- Credit adds paid lesson hours.
- Non-Credit records money without adding hours, such as a test fee.
- Refund deducts hours and records a refund.
- Enter the hours and amount.
- Choose Cash, Transfer, Card, Online or Other.
- Add a note if needed.
- Tap Add Credit, Record Payment or Process Refund.
You can also start Quick Payment from a lesson or pupil shortcut.
Send a receipt
Turn on Send receipt to student before saving a manual payment. LessonBuddy emails the receipt and can send a payment notification.
Existing manual payments on the Pay tab also offer Send receipt. If delivery fails, the payment remains recorded and LessonBuddy tells you that the receipt was not sent.
Understand the Pay summary
The pupil's Pay tab shows:
- PAID: money recorded
- BOUGHT: lesson hours purchased
- USED: purchased credit already consumed
- BALANCE: lesson hours still available
The same balance appears in the pupil overview, lesson list and the pupil app. Scheduled lessons may reserve available credit, so check the lesson's Paid or Unpaid state as well as the headline balance.
Accept card and wallet payments
- Open Settings → Setup Stripe.
- Complete Connect Stripe onboarding.
- Return to LessonBuddy and refresh until the account says Ready to Accept Payments.
- Turn on Accept Card Payments.
- Open Settings → Payment Settings and configure student-bookable rates or special offers.
Eligible pupils then see Pay for Lessons. The Add Credits screen supports cards, Apple Pay and Google Pay where available.
Control card payments for one pupil
Open the pupil's Settings tab and find Card Payments. Enable Custom card payment settings to show or hide the pupil's Pay for Lessons button independently of the global setting.
Important checks
- Financial Planning income records are for bookkeeping and do not add pupil lesson credit.
- Use Non-Credit for charges that should not create hours.
- Check the fee option in Stripe settings before enabling online payments.
- Stripe payments are added by the payment service; do not record the same payment manually.
- Review the pupil and amount before issuing a refund.
