Pupil Availability and Bookable Gaps

LessonBuddy separates weekly pupil availability from bookable gaps. Availability helps you find suitable lesson times; gaps are real diary slots that pupils can request or book.

Set up lesson availability

1. Open Settings → Lesson Availability.
2. On My Slots, tap Add Lesson Slot.
3. Choose the day, start time and usual duration.
4. Add the regular slots you want pupils to respond to.

Pupils open My Availability and tap each slot to mark when they are available. You can review responses on Student Availability, or open a pupil profile and select the Availability tab.

When you create a lesson for a pupil, LessonBuddy shows Within student availability or Outside student availability to help you choose a suitable time.

Enable pupil gap booking

Open Settings → Gap Settings and configure:

• Students can book gaps
• Gaps require confirmation
• Must have credit to book

You can apply pupil-specific card or booking overrides from that pupil's settings where available.

Create a bookable gap

1. Open Schedule and start creating an item.
2. Select the Gap tab.
3. Choose the date, time and duration.
4. Use Repeat or Multiple if you want to publish several slots.
5. Choose the visibility when offered:
   • Public for website booking requests
   • Students for existing pupils in the app
   • Private to keep the slot hidden
6. Tap Create gap.

The public option appears after Allow Public Gap Requests is enabled in Website Booking Settings.

Manage pupil requests

Pupils open Available Gaps. Depending on your settings, they see Book or Request.

For requests that need approval:

1. Open Student Requests.
2. Select Gap bookings.
3. Tap Approve or Deny.

Public enquiries appear in Website Bookings. Approving a gap request can create the pupil and assign the selected slot. Review the contact details before approval.

Assign a gap yourself

Open the gap on Schedule and choose Assign student to gap. You can also use Outstanding Gaps to assign or remove unfilled slots.

Troubleshooting

• If pupils cannot see gaps, check Students can book gaps and the gap's visibility.
• If booking is blocked, check the pupil's credit and any pupil-specific settings.
• If Public is missing, enable public requests in Website Booking Settings.
• Availability alone does not create a booking; create a lesson or gap after reviewing it.
